Position Overview
The Executive Assistant will serve as the primary point of contact and support for the Executive Director (ED), managing schedules, communications, and critical projects. This role requires exceptional organizational skills, the ability to manage multiple competing priorities, and a high level of professionalism and discretion. The ideal candidate will be comfortable working in a dynamic environment and will anticipate needs before they arise.
Key Responsibilities
Draft, review, and respond to correspondence and emails on behalf of the CEO.
Coordinate with internal departments and external partners to ensure smooth communication and project follow-through.
Maintain accurate records, prepare reports, and assist with meeting preparation.
Handle confidential and sensitive information with the utmost discretion.
Assist with financial tracking, invoice processing, and basic accounting tasks; experience with QuickBooks is preferred.
Plan and coordinate special projects
Be available for urgent matters and time-sensitive requests, occasionally outside normal business hours.
Communicate with external stakeholders.
Review contracts, and assist in healthcare credentialing.
Qualifications
3+ years of experience as an Executive Assistant, preferably supporting a senior executive in a fast-paced environment.
Strong organizational and time management skills, with the ability to pivot quickly as priorities change.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite; familiarity with QuickBooks strongly preferred.
Proven ability to exercise sound judgment, maintain confidentiality, and manage sensitive situations professionally.
Self-motivated, proactive, and able to work independently while managing multiple deadlines.
